The cover letter
Dear Ms. Kaplan,
I'm applying for the Patient Services Coordinator position at Riverbend Clinic (fictional). For the last 16 years I've been the first person patients meet at Ozark Family Medicine, and now that the practice is closing, I'd like to bring that experience to a team that serves more of our community.
Your posting asks for someone who can manage complex schedules and help patients with insurance questions. At Ozark I managed schedules for four providers, about 90 appointments a day, and verified insurance before every visit. I also led our front desk through the switch from paper to an electronic records system, and I trained each new receptionist we hired.
I'm patient, organized and steady on busy days, and I genuinely like helping people feel at ease. I'd welcome the chance to talk with you. Thank you for your time.
Sincerely,
Evelyn Brooks

What we did: turned a 2009 duty list into results, led with the job she wants, summarized older jobs, left off her graduation year, and added current training. Every fact came from her notes or our questions. The "no-shows" line doesn't use a number because she didn't have one, so we don't invent one.
Sample 2: A complaint letter
We don't list letter writing as a separate service yet. If you need a letter like this, choose "Not sure yet, please advise" on the order form. We'll tell you whether we can help, and the price, before we start. We don't write legal demand letters, credit disputes or insurance appeals; for those, please contact legal aid or the relevant agency.
The situation (fictional): Walter Grant's new recliner arrived three weeks late with a torn seat, and two phone calls didn't resolve it.

Re: Order #PH-48210, damaged recliner
Dear Customer Service Manager,
I'm writing about a recliner I ordered from your Cedar Falls store on August 28 (order #PH-48210). It was promised for September 12 but arrived on October 3, and when the delivery team unwrapped it, there was a 4-inch tear in the seat. I noted the damage on the delivery receipt and took photos, which I've enclosed.
I called customer service on October 4 and October 7. Both times I was told someone would call me back within two days, but I haven't heard from anyone.
I'd like the recliner replaced with an undamaged one, delivered on a confirmed date, or picked up for a full return. Could you please let me know by October 24 which option you can offer? I've been a customer for many years and would like to resolve this simply.
Thank you for your help.
Sincerely,
Walter Grant
Enclosures: delivery receipt with damage noted, 3 photos, order confirmation
Why it works: it's calm and factual, gives the order number and dates, says what happened and what's already been tried, asks for a specific fix by a specific date, and stays polite.
